Insights offers two distinct ways to share a dashboard: internal shares (give colleagues live access) and tokened links (a fixed snapshot behind a URL, optionally public). They serve different needs — use the right one.
Internal sharing#
Share a dashboard with everyone, a team, or a specific person, optionally letting them edit. Everyone sees the same widgets, but — thanks to viewer-scoped metrics — each person's numbers are scoped to what they can already access. Only the owner manages shares.
Tokened links#
For a fixed, URL-based view, create a link (owner only — even editors can't publish to the internet). Every link serves a snapshot (the same frozen numbers for everyone who opens it), and comes in two visibilities:
- Private link — requires an organization login to open, but shows the shared snapshot under one URL.
- Public snapshot — a bare, no-login page at a public URL, ideal for a client or stakeholder. It always shows a "figures as of…" timestamp, and drilling is disabled — viewers see the numbers, never the underlying records.
Links can carry a label, an optional password, and an expiry. A password-locked link reveals nothing about the dashboard until unlocked; a revoked or expired link shows a clear "unavailable" message.
Public safety#
Public links are built to be safe to hand out:
- Snapshot-only — an anonymous visitor never runs a live metric; they see the frozen snapshot.
- Per-widget consent — every widget visible when you create the link must be acknowledged; a widget added later stays private until you re-publish. Nothing new leaks by accident.
- Fully audited — every link's creation, revocation, and view is recorded.
Snapshots refresh on a schedule so a public dashboard stays current, and they freeze (rather than escalating privileges) if the creator ever leaves.
Rule of thumb: internal share for colleagues who should see live, permission-scoped data; a public link for outsiders who should see a fixed, read-only snapshot. Both are revocable and audited — and a public link never exposes more than the widgets you consciously published.
Sharing through Prox#
Prox can manage sharing for dashboards you own: ask it to "share the Sales Pipeline dashboard with the leadership team" and it lists, adds, or removes access using exactly the same owner-only rules as the Share dialog — every change is confirmed with you first and audit-logged.
